DLR Group's Administrative team has an opening for an Administrative Assistant (Office Support)

As a key staff member who interfaces directly and supports the staff in the office, the expectation for this position is to be in the office 5 days per week.

Location: Orlando

Position Summary

As an Administrative Assistant (Office Support) at DLR Group, you will be the first point of contact for our vendors and visitors. You will be responsible for providing a welcoming environment to all visitors, vendors, clients, and consultants. Additionally, you will be tasked with meeting coordination, presentation set-up and breakdown, and overall office organization.

The successful candidate will:

  • Greet all visitors and vendors and providing guidance on the office space.
  • Answer all incoming calls and route to the correct location.
  • Assist with onboarding new employees
  • Manage coordination with vendors.
  • Make travel reservations, manage office calendars, and distribute mail.
  • Distribute relevant information to staff regarding local activities and events.
  • Maintain overall office organization and cleanliness.
  • Order and maintain office supplies.
  • Coordinate conference rooms, events and meetings, as well as assisting with ordering of food.
  • Produce and finalize AIA contracts and assist with tracking of documents.
  • Maintain confidential information as it relates to projects.
  • Assist project managers with other aspects of the team and project management as needed.
  • Support project administration (including financial/billing support) including managing online project information.
  • Perform basic accounting tasks such as; order entry and expense reporting.
  • Other misc. duties that may require assistance within the office.

Required Qualifications:

  • 3 or more years of experience in a customer-facing service role.
  • Proficient with Microsoft Office Suite, including scheduling meetings in Outlook
  • Excellent communication skills, both verbal and written.
  • Proactive, independent thinker possessing a high attention to detail and ability to prioritize.
  • Working knowledge of business procedures and office equipment.

Preferred Qualifications:

  • Experience in architecture, engineering, or construction (A/E/C) industry.
  • Experience and knowledge using Deltek Vantagepoint
